Job Type: Part-Time (20 hours/week)
Compensation: $4–$6 USD/hour (based on experience) + 13th Month Pay
Schedule: (USA – Central Time)
- Monday–Thursday: 1:00 PM–6:00 PM
- Some flexibility is available for a slightly later start, while maintaining five-hour shifts.
(Manila, PH Time: Tuesday–Friday: 2:00 AM–7:00 AM)
About the Role
We’re seeking an organized, detail-oriented Virtual Administrative & Patient Support Assistant to support a U.S. healthcare team. Your primary focus will be administrative support, documentation review, billing-related tasks, and accurate patient records, with backup front desk and patient communication support as needed.
You’ll help catch up on documentation following a recent electronic health records (EHR) system change, keep patient care plans organized, and ensure important details are recorded correctly. No prior billing experience is required—training will be provided.
What You’ll Do
Documentation & Billing Support
- Help clear a backlog of documentation and billing-related administrative tasks following an EHR transition.
- Audit existing SOAP notes for missing or incorrect charges, identifying or adding the appropriate charges as directed.
- Generate and send superbills to patients as needed.
- Assist with general billing administration for cash-based services.
Care Plans & Patient Records
- Audit patient care plans and flag patients approaching their reevaluation dates.
- Enter care plans into the system and map out patient visits according to each plan.
- Keep patient records and care plan information accurate and up to date.
Backup Front Desk & Patient Communication
- Answer incoming calls and respond to patient texts when coverage is needed.
- Contact patients who need to reschedule and assist with general patient communication.
- Send birthday greetings by text or email.
- Phone and patient communication duties are backup responsibilities rather than continuous, all-day coverage.
What We’re Looking For
- A solid background in administration and customer service.
- Excellent verbal and written English for communicating with U.S. patients and team members.
- A pleasant, professional phone voice and a warm, helpful approach.
- Excellent attention to detail when reviewing documentation, charges, care plans, and patient records.
- Strong organizational skills and the ability to manage tasks with reliable follow-through.
- Comfort learning EHR systems and other web-based tools.
- Availability to work the listed overnight Philippine schedule.
Billing experience is not required. We’re looking for someone who brings accuracy, strong communication skills, and a willingness to learn.
