About the Role
We’re looking for a friendly, confident Virtual Front Desk & Patient Services Concierge to support patients and keep a busy healthcare office running smoothly. You’ll manage calls, appointments, messages, and prospective patient follow-up while working remotely with a U.S.-based team.
What You’ll Do

- Schedule and reschedule patient appointments.
- Enter patient demographics and other information into ChiroHD.
- Monitor and respond to patient texts through Sked.
- Manage prospective patients in GoHighLevel (GHL), including calls and texts. When an AI-initiated conversation does not lead to an appointment, personally follow up by phone.
- Send patient records as needed.
- Complete general data entry, including transferring information from documents into the appropriate systems.
- Communicate with the internal team through Google Chat.
What We’re Looking For
- Strong customer service experience and excellent spoken and written English.
- A friendly, professional manner and a pleasant phone voice.
- Confidence and poise when speaking with patients and prospective patients.
- Strong organization and attention to detail.
- Comfort handling calls, texts, and lead follow-up.
- Ability to learn online systems; experience with ChiroHD, Sked, or GHL is a plus.
Why Join Us
- Work from home while helping patients get the support they need.
- Join a collaborative team that values thoughtful, reliable service.
- Build your skills in patient communication and healthcare operations.
Tech Requirements
To ensure smooth performance, you’ll need:

- Mac/iOS: M1 or higher
- Minimum 8GB RAM + 60GB free disk space
- Stable internet connection (100 Mbps+ upload/download) with a backup option (mobile hotspot or secondary provider) in case of outages
- Noise-canceling headset
- Built-in or HD external webcam
- Quiet, professional workspace
- Power backup (UPS, generator, or laptop battery) to prevent interruptions during outages
